Ways to access the voting area

It is possible to set up polling stations for in-person voting at the venue or event location. In that case, the Election Commission will man the physical polling station and provide voter identification, generation, printing and delivery of credentials to participants.

In order to set up the physical polling station, it is necessary to have workstations both for the printing of credentials to access the voting area online and for the expression of the vote itself. The workstations can be provided by Eligo, which handles all organizational and internet connection aspects.

Credentials can be enabled after identification by the Polling Station Commission or delivered printed to the voter after identification through ID. This service also offers the possibility to profile accreditors for optimal management of polling station activities and to enable voters and enter them in the registry directly at the designated location for the election event.

N.B. At the polling station, double voting cannot occur since the Eligo system does not allow the generation of credentials if the voter has already expressed his or her preferences online.

The module allows for multi-level security identification with the sending of OTP (One Time Password) via SMS when logging in. The code is temporary and valid for one-time access.

The eligible voter receives an e-mail that contains the direct access link to the ballot. This link is unique and personalized for each eligible voter. Through that link, it is possible to access the voting area securely, without having to enter a username and password.

Access is arranged for integration with recognition system already provided by the organization (Single Sign On).

Choosing access through these authentication systems ensures immediate identification of the voters. In the case where identification is through Single Sign On there is no sending of login credentials.

Service of preparing, printing, enveloping registered postal bills with the support of a specialized company.

It is possible for voters to gain even easier access through the generation and printing of unique QR Codes.

The QR Code incorporates encrypted username and password and once scanned allows the voter to enter the voting system directly without digiting credentials.

The feature can be used both in the case of voting with voters’ personal devices and for voting stations with dedicated QR Code reader.

Additional modules

The module allows the management of proxies. This management takes place before the voting opening and is done through a dedicated management panel in the platform. With the registration of the proxy, the delegate loses access to the Eligo voting area.

N.B. Proxy is joint, so the proxy votes only once for all proxies.

The module allows management of the weighted ballot associated with the individual voter. The voter will not be able to subdivide his or her vote weight, and the ballot will contain only the total data of votes cast.

The dual-key encryption module allows a private decryption key to be delivered to the Election Commission, or the Notary Public, or the Pollsters as guarantors of the unchangeability of the database of votes cast.

This module makes it possible to apply an asymmetric key (dual-key) RSA encryption algorithm to the already anonymized ballots.

It is expected that during the preparation of the Eligo voting system, you will specify how to manage keys (public and private) encryption to encrypt incoming votes and de-encrypt them in the ballot phase.

The procedure envisages the use of different passwords, compulsorily combined, to access the online voting system and initiate the opening, suspending and closing of voting operations. The passwords are delivered simultaneously with the start of voting operations, by the operator who manages the system: the first to the polling station chairman; the second to the polling station secretary; and the third to the technical contact or the designated Notary Public.

The e-mail participation reminder is sending, when voting is open, as a notice to only those voters who have not yet cast their ballot. 

Maintaining voting data for 180 days in the cloud environment for handling any legal proceedings.

Eligo’s Software Code is deposited with a Notary Public who is responsible for securely guarding the deposited source code, preventing access to it. The Notary Public, in his capacity as an impartial public official, is able to guarantee the secrecy and integrity over time of the code.

Creating an instance of Eligo ad hoc, for the generation of ballots in non-editable and absolutely anonymous pdf format. The entire database of ballots is made available for possible verification and manual recount. This generation occurs following the production of the ballots.

For in-person election events, we offer a comprehensive hardware rental service that includes everything needed to efficiently and professionally manage every technical aspect.

Our package includes rental of state-of-the-art equipment and configuration of dedicated wireless networks, as well as advanced scanning devices and high-quality printing solutions.

The equipment we provide are: voting stations, credential printers, omnidirectional QR-Code readers.

We ensure complete support, taking care of the set-up, assistance during the event, and final disassembly, allowing organizers to focus fully on the success of the event without logistical or technical concerns.

Technical support delivered to a single contact person in the organization, during the license period. The service is delivered remotely, via telephone with a unique contact person.

This service includes the provision of a support switchboard reserved for voters who can call on our team during the voting period for assistance on procedures to be followed. Several support people are allocated, to eliminate any waiting in the case of simultaneous calls.

Communication and Training

The basic kit provided by Eligo supports client organizations in internal communication by facilitating voter understanding of the voting platform with ad hoc materials:

  • A generic presentation “How to Vote“, customizable and adaptable to various communication channels;
  • Guidelines on internal communication for creating clear and effective messages;
  • A practical guide for using the application, including detailed instructions on the credential submission and regeneration process, FAQs, and voter support.

The Advanced Communication Kit provides a comprehensive service for effectively communicating voting patterns to members. This module includes:

  • Customized “How to Vote video tutorial, about 1 minute long, with background music and flowing text commentary, for immediate and engaging understanding of the voting process.
  • Support the planning and definition of a targeted and effective multichannel communication plan.

The training consists of a remotely delivered hands-on session lasting up to 1.30 hours, aimed at a maximum of 10 participants. The objective of the course is to make administrators and committees autonomous in the use of the application and its modules, ensuring a full understanding of the functionalityies offered. The course includes a broad overview of the product, accreditor functions, monitoring interface, credential regeneration procedure, vote closure, and ballot report extraction, as well as a question-and-answer session led by our experts for in-depth discussions.
